ECNX Patient Encounters (“ECNX”, “we”, “us” or “our”) is committed to protecting the privacy of every patient, physician and urgent care facility that uses the ECNX ™ suite of applications. This Privacy Policy explains what information we collect, how we use it and the choices you have. By using our services you agree to the practices described below.
1. Information We Collect
We collect account information you provide when you register, such as your name, email address, phone number and role (patient, physician or facility administrator). When you take part in a care encounter, we collect health encounter data, including session recordings, transcriptions, encounter documents and wellness road maps generated through our applications. We also collect limited device and location information, such as browser type, IP address and approximate location, so that we can secure your account and help you find nearby urgent care facilities.
2. How We Use Your Information
We use your information to deliver our care services, including connecting patients with physicians and urgent care facilities, powering AI transcription and diagnostic assistance during encounters, and maintaining your encounter history and wellness road map. We also use aggregated, de-identified information to improve the quality, safety and accuracy of the ECNX ™ platform. We do not sell your personal information.
3. Health Information Handling
Encounter recordings, transcriptions and medical records are processed only to provide the service to you. Your health information is shared only with the members of your care team — the physicians and urgent care facilities involved in your encounter — and is never disclosed to advertisers or unrelated third parties. Access to health information within ECNX is restricted to personnel and systems that need it to operate the service.
4. Cookies and Sessions
We use cookies and similar session technologies to keep you signed in, remember your preferences and understand how our applications are used. Essential cookies are required for the platform to function; you can control non-essential cookies through your browser settings, although disabling them may limit some features.
5. Data Security
We protect your information using administrative, technical and physical safeguards, including encryption of data in transit and at rest, role-based access controls and continuous monitoring of our cloud infrastructure. While no system can be guaranteed to be completely secure, we regularly review and update our security practices to protect your data.
6. Data Retention
We retain your account information for as long as your account is active. Encounter records and recordings are retained for as long as needed to provide the service and to meet applicable medical record-keeping and legal requirements. When information is no longer required, it is securely deleted or de-identified.
7. Your Rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us at support@ecnx.org. We will respond to verified requests within a reasonable timeframe, subject to any legal obligations that require us to retain certain records.
8. Third Parties
We share limited information with trusted service providers who help us operate the platform, such as payment processors that handle subscription billing and the urgent care facilities you choose to visit. These parties are permitted to use your information only to perform services on our behalf and are required to protect it.
9. Children
Our services are not directed to children under the age of 13, and we do not knowingly collect personal information directly from children. Where a minor receives care through ECNX, their information is provided and managed by a parent, guardian or authorized care provider.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes we will post the updated policy on this page and, where appropriate, notify you by email or within the application. Your continued use of the service after changes take effect constitutes acceptance of the revised policy.
